As a key member of our team, you will play a crucial role in ensuring the smooth and efficient operation of our global certification team. Your responsibilities will include resource management, data analysis, andmaintaining essential spreadsheets and databases. You will work closely with various teams within the organisation, helping to optimise our resource allocation, track project progress, and provide valuable insights to support our sustainability initiatives.

  • Resource management:
  • Maintain regular overview of global certification team capacity, employee specialisms/preferences and delivery programme
  • Regular review with Business Development team to understand pipeline and capacity
  • Regular review with certification team to understand current capacity and changes to employee availability & project delays
  • Dynamic resource allocation
  • Weekly review with Project Managers, Key Account Managers and key projects to see who may need additional support on projects due to capacity issues, changes in scope, employee absence etc.
  • Understand risks to delivery programme and identify contingency plans for situations where original delivery plans change.
  • Maintain In-Use Asset Level Management Data Spreadsheet – which keeps track of global Green Building Certifications per client, per service line etc.
  • Weekly check in with Finance to ensure invoicing spreadsheet is up to date; reliance on invoicing secured and projected data to be accurate for monthly SMT reporting
  • Point of contact for internal staff as to where to find key information e.g. PowerPoint templates, forms, training videos, onboarding material etc.
  • Maintain delivery team database spreadsheet which keeps track of current employees in service line, certifications, position, % per service line allocation and delivery capabilities
  • Maintain BREEAM dedicated spreadsheets, such as Fast-Track Audit Tracker, QA tracker, Delay Tracker and BRE Platform Issue tracker in order to assist BiU service line lead

Key skills:

  • Project Management: Proficiency in project management methodologies and tools to effectively manage resource allocation, capacity, and changes in scope.
  • Communication: Strong communication skills to conduct regular reviews with various teams and effectively convey resource allocation changes, project updates, and contingency plans.
  • Analytical Skills: Ability to analyse data related to team capacity, employee specializations, and delivery programs to make informed resource allocation decisions.
  • Problem-Solving: Capability to identify risks to the delivery program and develop contingency plans to address unexpected situations.
  • Attention to Detail: High level of attention to detail to ensure accuracy in tracking global Green Building Certifications, invoicing, and other data.
  • Organisational Skills: Strong organisational skills to serve as a point of contact for internal staff and maintain various spreadsheets and databases.
